Summary

Oversees and manages the operational aspects of ongoing projects as it relates to Development systems provided through vendor/hosted solutions. Serves as liaison between vendor project management and planning, Marketing, Gift Processing operations, and line management. Reviews status of projects and budgets as it relates to the system/vendor activity; manages schedules and prepares status reports. Assesses project issues and develops resolutions to meet productivity, quality, and client-satisfaction goals and objectives. Develops mechanisms for monitoring project progress as it relates to vendor systems and for intervention and problem solving with project managers, line managers, and vendor managers.

 

Responsibilities

Manages vendors that support "back office" processes and supporting systems. Includes Valtim (acknowledgement letters) and BlackBaud - Team Approach. Leads campaign setup with marketing. Manages new vendor projects such as addition of new telemarketing vendor. Works closely with stakeholders to perform efficient user requirements analysis for all system changes and/or enhancements. As required, writes RFPs and conducts vendor search as new vendors are needed. Creates documentation/mechanism to evaluate RFPs and select appropriate vendors to ensure appropriate level of service is provided. Required to negotiate and manage contracts including adequate Service Level Agreements.

Monitors invoices and operating budgets associated with vendors and while constantly monitoring/considering system and vendor performance. Must have a keen and detailed understanding of all the development systems hosted by their vendors and how they interrelate to other critical systems. Must work closely with Marketing, Consumer Marketing, Development Services and operations as system changes and enhancements are required to minimize and or prevent any upstream and/or downstream impacts to other processes and programs. Must ensure appropriate testing is performed by vendors for all system changes that are implemented. Must be sure testing and implementation of system changes are well planned and are completed/installed based on user needs and expectations. Needs to be able to find alternate providers for any service, in case a vendor disappears or otherwise fails to perform. They are responsible for ensuring a smooth transition from one provider to another - especially in the event of a system failure that the current vendor can't or won't handle. They are required to ensure that systems in place be well documented, and that documentation be kept current. This position requires an appreciation of the value and importance of documentation, and the ability to produce and evaluate technical documents. Required to develop a Business Continuity plan—in essence needs to be able to quickly find alternate providers for any service, in case a vendor disappears or otherwise fails to perform.

 

Minimum Qualifications

·         Bachelor's degree in Business Management, or other related field and a minimum of 7 years of related experience.

·         Certified Associate in Project Management (CAPM) preferred and progress toward Project Management Professional (PMP) certification preferred.

·         Excellent written, oral and positive influential interpersonal skills required; ability to communicate in both technical and non-technical terms.

·         Excellent analysis and problem solving competence.

·         Excellent interpersonal, management, and networking/influencing skills – at all levels of an organization – and to both internal and external stakeholders. Flexible, adaptive problem solver.
